If an account has been in existence prior to the first time the data is imported into Captools/net, the initial cash balance and share positions must be established at the time of the first import.  

 

The way that this is accomplished is by Captools/net importing the custodian or clearing firm position records on the initialization date into the transaction blotter as either RCV (Receive) transactions for shares or DPF (deposit) transactions for cash balances.

 

Automatic Initialization - Data initialization occurs automatically during the custodian data import process when custodian files are imported containing new account information.  Specifically, if a custodian file containing account Position data is imported, and an account does not already contain initialization records for positions contained therein, then initialization RCV and DPF transactions are entered into the transaction records for that account.  Generally, such initialization records will be marked as such with the notation "Initialization" in the transaction description field.  You should examine such records carefully in the transaction blotter to make sure they are correct before transferring them to the account portfolios.

 

Automatic initialization from custodian data requires that either the Captools/net account number is identical to the custodian account number or depends upon your having assigned the custodian account numbers as sub-accounts prior to importing the custodian position data.  If custodian account numbers differ from your Captools/net account numbers, and you have not assigned them sub-account numbers, you can use the Reconciliation records to accomplish the sub-account assignments and at the same time achieve your account initialization, by using Forced Initialization (see below).

 

Forced Initialization - The Accounts Reconciliation records are always reloaded or refreshed with new data whenever new custodian files containing Position information are imported through the custodian interface.  The left side of these records contain the custodian's statement of each account's share and cash position and value.  If custodian data does not have any account number assigned in the Portf Account # field, then you should determine the appropriate Captools/net account number and enter it directly in the reconciliation record:

This will cause a sub-account record to be created, connecting the custodian's account number with the portfolio account number that you have assigned in Captools/net.  Highlighting the Portf Account # field for the applicable accounts on the Accounts Reconciliation records and executing the Data/Compute Field command will cause appropriate RCV or DPF account portfolio transaction initialization records to be generated in each selected account using the Reconciliation Recon Date as the date of the transactions:

In addition to generating the initialization transactions, the initialization will create position and valuation records dated the same date as the initialization records and valued at the reconciliation prices.
